AGM 2019 Postponed to Mid 2020

Greetings from CONGOMA and we hope you are doing fine.

As the subject refers and as you are aware that every year CONGOMA holds a General
Meeting (AGM) to transact authorized business which include adoption of audit report,
election of office bearers when due and Constitutional amendments accordingly among
others.

You would also recall that last AGM deferred appointment of Auditors but empowered
Trustees/Governing Council to do this task through standing Committees. It is not pleasing to
report that the process has taken longer than expected and Audit is yet to start. As such,
looking at the dates and the required five working weeks notice for AGM, it looks very
unattainable to meet the deadlines and hold AGM in 2019 by mid December.

As a result, Governing Council in liaison with leadership of the Board of Trustees have taken a decision to postpone the AGM 2019 to mid 2020. Members, you may be pleased to note that Audit delay is the main issue while finances is the other challenge as we depend on partners to cushion
our expenses and for this year it is not clear on the level of support.

You may further recall that, we faced similar situation in 2006 and in 2010 where it was
agreed to postpone the AGM as it doesn’t fit well to have an AGM without discussing financial
matters as one of the core issue. This means that we shall go into 2020 AGM with two Audit
reports (2018 and 2019).

Other meetings other than the AGM are not affected by this shift. In
this regard, may I urge you to attend especially Regional Meetings which CONGMA will
organize this November 2019.
